IBTM World 2026 runs from Tuesday 17 to Thursday 19 November in Hall 3 of Fira Barcelona Gran Via, entered through the Accés Sud (south) entrance, and a trade visitor pass costs €100 plus VAT. RX's show for the meetings and events industry brings event planners together with destinations, hotels, venues, event technology companies and other suppliers, with a matchmaking programme that pre-schedules one-to-one meetings.
It is built for event planners and the suppliers who want to meet them, and there are no public days. The 2027 edition is already dated: 16 to 18 November 2027.
Who exhibits and who attends IBTM World?
The 2025 edition drew nearly 12,000 participants and almost 2,500 exhibitors, according to the organiser, and set a record of more than 79,000 pre-scheduled meetings, up 8% on 2024. Returning participants rose 12%, and 49% of hosted buyers came from outside Europe. For 2026 RX advertises 2,500+ suppliers and innovators.
Exhibitors are destinations and convention bureaux, hotels, venues, event technology firms and start-ups. The Hotel Pavilion is a dedicated area for independent and boutique hotel groups, and IBTM Ignite, launched in 2025 with more than 80 start-ups, connects young event companies with investors. Exhibitors quoted in the organiser's 2025 review include VisitScotland Business Events, PromPerú and the event software company Cvent.
On the buying side, the organiser lists corporate and association event planners, agency and third-party planners, professional conference organisers (PCOs), and incentive and business travel professionals. Hosted buyers must organise meetings, conferences, incentives or events outside their own country, or business travel.

How the hosted buyer programme works. Applicants register interest, pay a non-refundable €100 plus VAT fee and may be asked for two booking references from meetings suppliers. Fully hosted buyers receive room-only accommodation in a four- or five-star hotel, transfers in Barcelona, lounges with lunch, and a flight allowance, up to a limit set by country of residence, for flights booked through IBTM's portal. Semi-hosted buyers get accommodation only; appointment-only buyers pay their own way. In return, hosted buyers commit to at least 30 appointments and one Destination Experience and Conference session per day, and a €100 fee may be charged for each missed appointment that is not rescheduled.
Buyer preferences are matched with exhibitor availability about four weeks before the event, and the organiser set 28 August 2026 as the deadline for hosted buyers to submit flight details. By 25 October 2026 the flight deadline had passed and matching was due, so our suggestion for planners who have not yet applied is the Flexi Buyer pass, which has no minimum meeting commitment.
Is it open to the public? No. Admission is restricted to professional and business visitors and exhibitors with a professional interest in the industry, and anyone under 18 needs the organiser's prior written approval. Visa invitation letters are available to hosted buyers and exhibitors only.
Networking at IBTM World: appointments, app and side events
Hosted buyers choose at least 15 exhibitors per day of attendance in the Hosted Buyer Zone and rank them; about four weeks before the show, the system matches up to 10 of those preferences per day with exhibitor availability. Each pre-scheduled appointment is a 20-minute one-to-one meeting on the show floor. Free slots can be filled with self-scheduled meetings, and Flexi Buyers use the same platform with no minimum. On the show floor, diaries appear in the official IBTM World app.
The conference spans 150+ speakers across eight tracks. The buyer programme also leads into senior strands: the Exceptional Experiences Workshop for in-house event leaders and brand marketers, the Association Leaders Forum and the invitation-only Forum for Advocacy. The social programme includes a Welcome Party on the first day, a Networking Hour, and The Lounge and ReFuel spaces; hosted buyers can apply for post-show tours to European destinations.
Practical tips: Wednesday runs latest, until 19:00, while Thursday closes at 17:00. If you print your badge in advance, print it in colour; badge holders are handed out on arrival. Register before you travel: the admissions policy allows a €150 supplement for onsite registration.
Getting to Fira Barcelona Gran Via and where to stay
The venue sits between Barcelona and L'Hospitalet de Llobregat, close to Barcelona-El Prat airport. Metro line L9 Sud runs from the airport to the Fira and Europa/Fira stations, and the organiser puts the ride from Terminal 1 at 19 minutes. TMB bus 46 also runs from the airport to the Plaça Europa stop. Metro L10 Sud serves the site too, and FGC trains, including line L8, stop at Europa/Fira; from the city centre the organiser suggests taking FGC from Plaça Espanya.
Exhibitors and hosted buyers have a shuttle from both airport terminals to Fira Gran Via on Tuesday from 07:30 to 09:30, and back to the airport on Thursday from 16:00 to 18:00. Hosted buyers are transferred from the airport to their hotel on Monday. The organiser puts a 15-minute taxi ride to the city centre at about €20.
The Book Accommodation link on the IBTM site leads to a booking portal run by bnetwork, which also handles hosted-buyer travel. Hosted buyers pick a hotel in the Hosted Buyer Zone on a first-come, first-served basis.
How does IBTM World compare with IMEX Frankfurt and WTM London?
IMEX Frankfurt covers the same market at Messe Frankfurt; its next edition runs from 11 to 13 May 2027. IMEX's own statistics for its 2026 edition list 13,515 participants including exhibitors, 4,739 buyers and 2,900 exhibiting companies; RX reported nearly 12,000 participants and almost 2,500 exhibitors for IBTM World 2025.
Two weeks before IBTM, the same organiser runs WTM London (3 to 5 November 2026), which serves the leisure travel trade rather than event planners. Dates for both are in our travel trade show calendar.
